The 520 Card Show – Vendor Agreement
This Vendor Agreement (“Agreement”) is entered into between The 520Hiro Trading Company LLC dba The 520 Card Show (“Organizer”) and any vendor (“Vendor”) who purchases vendor space for The 520 Card Show.
By completing a vendor space/table purchase, the Vendor acknowledges and agrees that this purchase constitutes a binding acceptance of this Agreement and the Vendor Policies, with the same force and effect as a signed contract.
1. Vendor Space
Vendor will receive one (1) vendor space consisting of a table and chairs as provided by Organizer.
Table placement is at Organizer’s discretion and may be adjusted for event flow, safety, or other operational needs.
Vendors must keep all displays, signage, and inventory within their assigned space and comply with venue rules, including fire marshal regulations.
2. Payment & Refunds
Payment is due in full at time of purchase.
Refunds are available only if requested at least fourteen (14) calendar days before the event date.
No refunds will be issued within 14 days of the event.
Vendor space is not guaranteed until payment is received and confirmed.
3. Setup & Teardown
Vendors must follow the setup and teardown times communicated by Organizer before each event.
Early teardown or late departure without Organizer approval may result in removal from future events.
Vendor is responsible for transporting and securing their own property.
4. Conduct & Compliance
Vendor agrees to follow all Vendor Policies, venue rules, and Organizer instructions.
Sale of illegal, counterfeit, or offensive items is strictly prohibited.
Vendor is responsible for obtaining any necessary permits, licenses, or tax documentation.
5. Liability & Insurance
Organizer, venue management, and affiliated entities are not responsible for loss, theft, damage, or injury occurring before, during, or after the event.
Vendor assumes all responsibility for their property, employees, and activities.
Vendor agrees to indemnify and hold harmless Organizer, venue, and affiliates from any claims, damages, or liabilities arising from their participation.
Vendors are encouraged to carry their own insurance coverage.
6. Termination
Organizer reserves the right to remove or deny participation to any vendor who fails to comply with this Agreement or Vendor Policies, without refund.
7. Final Authority
Vendor acknowledges and agrees that any matters not specifically addressed in this Agreement or Vendor Policies will be resolved at the sole discretion of the Organizer, and Organizer’s decision shall be final and binding.
